Configuring AutoArchive

AutoArchive scans all of your e-mail folders and moves older messages to a separate group of archived folders. This can be used for organizational purposes as well as to maintain the size of your mailbox and increase e-mail performance.

The following instructions are for Outlook 2003. Other email clients may have an archiving tool but are not supported by ITSD. You can find more specific instructions in your program's help files. Outlook 2003 Instructions

  1. Open Outlook

  2. Click the Tools menu and select Options

  3. Select the Other tab, then click AutoArchive.

  4. Check the box for Run AutoArchive every..., then choose the number of days for how often the AutoArchive tool will run.

  5. Check all three checkboxes under the During AutoArchive section.

  6. Choose how old items will need to be before they are archived under Clean out items older than. Make sure Permanently delete old items is UNCHECKED, then click OK twice.

  7. To specify different archive settings for a specific folder, right-click on that folder and choose Properties, then select the AutoArchive tab. When you have chosen the settings for that individual folder, click OK.

  8. To run AutoArchive manually, use the Mailbox Cleanup tool.
