Are backups kept of my e-mail?

Yes. All e-mail messages are backed up daily. The purpose of these backups is to enable recovery of the e-mail system in the event of a catastrophic failure, and to fulfill regulatory obligations. Backups are not intended to facilitate the recovery of a lost or accidentally deleted message.

If you accidentally empty your Deleted Items folder, you can still recover those messages for up to two weeks by following these steps:

Outlook 2003

  1. Open Outlook
  2. Click on the Deleted Items folder
  3. Click on the Tools menu and select Recover Deleted Items
  4. A list of recently deleted items will appear. Select the messages you need to recover and click on the Recover Selected Items icon (envelope with an arrow pointing out)
  5. The recovered messages will now be available in your Deleted Items folder.

Outlook Web Access

  1. Go to https://mail.babson.edu
  2. Click on the Deleted Items folder
  3. Click on the Recover Deleted Items icon (empty trash can with an arrow pointing out) in the toolbar
  4. A list of recently deleted items will appear. Select the messages you need to recover and click on the Recover button
  5. The recovered messages will now be available in your Deleted Items folder.

Is there a limit to the size of a message for sending or receiving?

Messages (including attachments) should be kept below 5 megabytes (MB). Many e-mail providers have a limit for the size of an incoming email. If you exceed that limit your message will bounce back as undelivered. The K:\temp folder is available for posting large files. All Babson users have access to this drive. To send a large file this way, copy the file to the K:\temp drive, then notify your intended recipients that the file has been copied to K:\temp. After the recipient has copied your file from the K:\temp drive, please go back and delete it. To maintain adequacy of space for all users, files in K:\temp that are older than two weeks are automatically deleted every morning at 6AM.

What is the supported e-mail client at Babson?

Outlook 2003 is the supported e-mail client at Babson College. Outlook is the only e-mail client that will allow you to access all of the functionality that Exchange offers, such as the Calendar, Tasks, and Notes. You may choose to use any e-mail software that is IMAP-compliant, such as Mozilla Thunderbird or Eudora Pro. The following information will be needed if you choose to set up an IMAP connection in a unsupported e-mail client:

Type of Server: IMAP
Incoming Mail Server: mail.babson.edu
Outgoing Mail Server (SMTP): mail.babson.edu
Username: your assigned Babson username
Password: your password for the above Babson username
E-mail Address: username@babson.edu
Other Information: The outgoing server (SMTP) should be set to require authentication using the above username and password.
 
The incoming server requires an encrypted connection (SSL)

Note: If you choose to use another e-mail client, you are on your own to obtain, install, configure, and get support for your chosen application.

Why do I have multiple Inboxes?

Users of Outlook will see up to three Inboxes, located under Outlook Today (or Mailbox - your name), Archive Folders, and Personal Folders.

The first Inbox folder and all other folders listed under Outlook Today (or Mailbox - your name), represent messages on the server. This is your primary Inbox for messages from both Babson and off-campus (Internet) users, and it represents all your e-mail messages stored on the Babson e-mail server. Messages stored here are viewable from any workstation by using Outlook Web Access.

The Inbox folder and all other folders listed under Personal Folders, represent messages stored on your own computer, and as such are only viewable from the workstation where you store them. These folders can be used to store messages that are taking up too much space on the server.

The Archive Folders are used by Outlook's AutoArchive feature. This feature automatically moves items from your Outlook Today: Sent Items and Outlook Today: Deleted Items folders in order to save space on the server.
