Employee Guidelines for Emergencies

 

Babson Open:

·         Employees are expected to report to work.

·         Employees who prefer not to work for personal reasons (including day care, school closing issues, or caring for sick family members), may use  vacation time with the approval of their supervisor.

Babson Closed:

·         Employees are informed of the closure through the Send Word Now System.

·         It is the employee’s responsibility to make sure that the College has your latest contact information.

·         Employees should also check the College website for informational updates.

·         Employees who have the capability to conduct work from home are expected to do so (please see instructions below for remote access).

·         Employees who do not have access or whose job responsibilities cannot be done remotely may be asked to work extra hours when the College reopens.

·         Those positions classified as “essential personnel” , as defined below, will be asked to report to work.

·         Employees who were scheduled for off-site programs should check with their manager to see if the program will be held as scheduled.

If Employee is ill:

·         Employee should report their illness to their supervisor and stay home.

·         The College needs to track all illnesses and symptoms for the health department.

·         Ill employees need to keep their supervisor informed daily about the status and should not return to work until their symptoms have subsided for 24 hours. Ill employees also need to report if their illness is has been confirmed as a specific type of virus. The reporting can be done easily through the flu website,http://www.babson.edu/fluadvisory  [This information is reported to the Board of Health without the employee’s name.]

Essential Personnel:

·         Many of our regular operations will need to function even if there are mandated restrictions by governmental agencies.

·         The following areas are considered essential and are required to be on campus if determined by your supervisor:  Public Safety, Health Services, Facilities, Food Services, President’s Office, Public Relations, Student Affairs, Purchasing, ITSD, Payroll, and the President’s Cabinet.

·         Other departments or individuals may also be asked to report to work.

Working Off-Campus using Babson Provided Technologies


Circumstances may arise in which there is a need for the school to close and for ITSC staff to continue to provide support from an off-campus location. This document is meant to outline the different services/resources available at Babson that can enable you to remain productive whilst not on the Babson campus as well as outline the ITSC protocols for continuing support should such an event occur.

The following will outline the different needs that you may have when working from an off-campus location and how to go about accessing these resources.

Computer Needs

·         E-mail – While off campus, you can access your email a couple of different ways:

o        Webmail (mail.babson.edu) – Enables you to view your mail/calendar/contacts via a web browser from any computer.

o        Outlook – All laptops on campus have Outlook configured in a way that will allow you to use Outlook to send/receive email while connected to the internet from anywhere. Home desktops may need a configuration change in order to send/receive email from outside the Babson network. If you need help configuring your home desktop to receive Babson email, please contact the IT Service Center at 781-239-4357.

 

·         Portal (portal.babson.edu) – Via the Babson Portal, you can access the following:

o        Webmail

o        Outlook Calendar

o        Message Center announcements

o        ‘My Drives’ (Network Drives)

o        Babson ‘My Downloads’

·         SharePoint (sp.babson.edu) – While off campus you can still access all of the SharePoint content at sp.babson.edu. Please note that you will be prompted for your Babson username and password when logging into SharePoint sites off-campus.

Telephone Requirements We recommend that you change your voicemail greeting to inform incoming callers that you will not be working on campus and provide them of another means to reach you. (Email address or another phone number)
